Hawaii Library Consortium member announcements and updates

I hope you are all safe and healthy during this time and would like to thank each of you for your patience as your Hawai‘i Library Consortium (HLC) Board worked to finalize some important matters. Such matters are detailed below:

Statewide Online Database Contract Award

The Statewide Online Database Contract has been awarded to EBSCO Information Services. This is a five-year contract (July 1, 2020 and ending on June 30, 2025) with yearly subscription fees.

I would like to thank the members of the 2020 Database Selection and RFP Evaluation Committees, who put in countless hours working through the many details of the RFP and selection process.  Their time spent is very much appreciated.

2020 EBSCO Allocations

In the past, the HLC Board shared the upcoming year’s HLC EBSCO Allocation spreadsheet at the May HLC General Membership Meeting. However, because the awarding of a contract was delayed and also because of COVID-19, there is no planned HLC General Membership Meeting this month. Instead, we are making the 2020-2021 HLC EBSCO Allocation spreadsheet available on our HLC website for a limited amount of time. PLEASE NOTE: This spreadsheet is restricted to designated HLC member representatives only. Do not share this spreadsheet with anyone outside of the consortium.

  • Enter the password shared via the listserv

Access to the spreadsheet will end on June 3, 2020.

The 2020-2021 HLC EBSCO Allocation is based on the Fall 2019 enrollments that each of your institutions submitted in this year’s HLC Annual Membership Survey. We do expect that many, if not all, institutions will likely see a Fall 2020 enrollment drop this year. However, our HLC Bylaws state that the subscription period for the core resource package begins July 1. Member institutions do not have accurate future Fall enrollment data by July 1. Thus, we calculate costs based on the enrollment data from the previous Fall, in this case, Fall 2019. We cannot delay payment of the invoice to the vendor for 4 to 5 months while waiting for Fall 2020 FTE data. Nor is it fair to allocate according to Fall 2019 data for some member institutions and according to Fall 2020 data for others. Fall 2020 enrollment figures will apply to the 2021-22 renewal, which begins July 1, 2021.

HLC Governing Board Changes & Elections

We would like to announce Jennifer Gordon as the next HLC President effective July 1, 2020. A big mahalo to Brooks Haderlie for his 3-year term of service as a Member-at-Large and to Brian Bays, Secretary, who is ending his three-year term as a Board member. Becky DeMartini will be replacing Brian as Secretary for the next year.

We are now seeking nominations for President-Elect and Member-at-Large, both three year terms.  Please refer to pages 3 and 4 of our HLC Bylaws for details regarding these two positions. More information on elections will be sent out in a separate email this week, but please start thinking of individuals to nominate for these very meaningful positions. You are welcome to nominate yourself as well. We need you!

Voting to fill these two Board positions will take place the week of June 1. Designated HLC member representatives are authorized to vote. We are aware that many of us will be on summer break by June 1. For those who are, please make a conscious effort to look for the emailed voting ballot that week and submit your vote by Friday, June 5.

Mahalo to Damien’s Librarian, Cheryle O’Brien, for serving as the Private K-12 constituency representative on the HLC Board for the past 12 years! Elections to replace Cheryle will be held online and more info will be sent to HLC’s Private K-12 members.

Save the Date: Fall General Membership Meeting

We plan to hold a General Membership Meeting online in the Fall. The date is tentatively set for Thursday, September 24, 2020 at 4:00pm so please mark your calendar.

Call for Nominations

Aloha HLC members,

This is a solicitation for nominations of two positions on the Governing Board of the Hawaii Library Consortium (HLC).  The first is for the office of the President-Elect.  The second is for one of the three Member-at-Large positions.

All Governing Board members must be on a Member institution’s staff.  The person elected President-elect will serve in that office the first year, as President in the second year, and as Secretary in the third year.  Terms of office commence on July 1 and end on June 30 of the third year.

Below are the duties of officers according to the 2016 approved Bylaws. To access our Bylaws, please go to: http://web.hawaii.edu/hlc/about/bylaws/

  • 1)      The President will conduct all meetings of HLC and serve as the official representative of HLC.
  • 2)      The President-elect conducts meetings in the absence of the President and assumes the role of HLC representative when designated by the President.  The President-elect shall   succeed to the office of President in the event of vacancy of that office.  Time served due to an early vacancy does not count against the President-Elect’s term as President.
  • 3)      A Member-at-Large is responsible for keeping their institution or constituent group informed of all matters including funding support before the Governing Board via all available means of communication.  They will maintain contact information for their institution or constituent group.

As a member of the Elections Committee, please email your nominations to me, Jessica Hogan at jessica.hogan@librarieshawaii.org by March 21, 2016.
Before submitting someone’s name, please make sure that:
1) The individual is employed at one of the current HLC member institution/schools.
2) The individual nominated has accepted the nomination.
3) A brief bio is submitted along with the nomination. This bio will be shared with all members prior to voting.

Self-nominations are also acceptable.

All HLC members can vote. Voting will be held April 4-15, 2016 via online voting. You will receive instructions shortly on how to vote.

Upcoming Hawaii Library Consortium General Meeting – January 15, 2016 4 – 5 PM, Chaminade University

Happy New Year to all and best wishes for a great 2016. Please join us on Friday, January 15 from 4 – 5 PM for our first General Meeting of 2016. We will be voting on a new set of proposed bylaws, which were sent out via the HLC Listserv.

Parking information:

Visitor Parking between 6:00 a.m. and 4:00 p.m., Monday through Friday:

Visitors may park in the parking structure (building #3 on the map) in the Chaminade stalls numbers 5 through 170. Park your car, then proceed to the Campus Security building (#7 on the map) to obtain a one-day parking pass. Place the pass in your car. If desired, once you have obtained the pass you may move your car to a stall marked with “CUH” on white that is closer to your campus destination.

Visitor parking after 4:00 p.m. or on weekends or holidays:

Visitors do not need a parking pass after 4:00 p.m. or on weekends or holidays. Please park in the parking structure, stalls 5 through 170, or in any designated parking space marked with “CUH” on white.

New Faces on the HLC Governing Board

We are pleased to announce the following additions to the HLC Governing Board:

Julie Yoshikawa, librarian at the Hawaii State Library in the Art, Music & Recreation Section, is the new HLC Secretary. Julie is already working diligently to keep our contact and address list accurate and up to date.  If your contact information should happen to change, please contact her at your convenience.

Also joining us on the Governing Board as the Hawaii State Public Library Representative is Marya Zoller, Acting Director of the Hawaii State Library.

Kristen Anderson, librarian at the University of Hawaii – John A. Burns School of Medicine, is now serving as the University of Hawaii System Representative.  We thank her for stepping in for another member who is out on leave.

Becky Demartini is our newly elected Private Academic Representative.  She is a librarian at BYU – Hawaii in the Joseph F. Smith Library.

And last but certainly not least, we thank Bryan Bays, librarian at the University of Hawaii at Hilo for serving as our Database Committee Chair.  Bryan is busily compiling database information and created a survey, recently sent out to membership through the HLC Listserv, to help us learn more about your database wants and needs.  Please assist us in completing this survey and mahalo to those who already have.  If you have any questions about the survey, please use the Contact Form to submit your question.

New Director-at-Large

Congratulations to our newest Director-at-Large, Cari Ann Ryan. Her term will run November 2014 to June 30, 2016.

Cari Anne Ryan is the Library Director at New Hope Christian College in Honolulu, Hawaii. She received an MLISc from the University of Hawaii and was hired by New Hope Christian College upon graduation. She is a solo-librarian of the largest theological library in the state of Hawaii. In addition to being the Library Director, she has also taught three undergraduate Freshman level writing and research courses and oversees the Work Study Program. Cari Ryan received accreditation evaluator training from the Association of Biblical Higher Education and is certified to attend site visits to evaluate Faculty Departments and Libraries. She is also the TaskStream Manager for the college and performs assessment data collection on all classes. Currently, she is enrolled in the Educational Leadership Doctoral Program through the University of Southern California. She currently resides in Hawaii Kai with her husband, Bryce, and their cat, Mercy.

Director-at-Large Nominations

This email is a solicitation for nominations for one of the three Director-at-Large positions on the Hawaii Library Consortium’s (HLC) Board. I had previously occupied this now vacant position and have since been appointed as the UH Representative on the Board.

The term for this Director-at-Large position ends on June 30, 2016.

As the Special Elections Committee Chair, I’m asking that you email your nominations to sgilman [at] hawaii[dot]edu by Friday, October 3, at 5PM. Before submitting someone’s name, please make sure that: 1) The individual is employed at one of the current HLC member institution/schools, 2) The individual nominated has accepted the nomination, and 3) A brief bio is submitted along with the nomination. (This bio will be shared with all members prior to voting.)

Self-nominations are also acceptable.

All HLC members can vote. Voting will be held Monday, October 13 – Friday, October 17 via a Google form. (This form will be sent out later.)

This position offers a rewarding leadership opportunity for the individual elected. The position involves working closely with various library representatives on the Board to further increase, enhance and facilitate cooperation among member libraries.

The Request For Proposal (“RFP”) for the next Hawaii Library Consortium core database contract will be released the week of October 13, 2014.

While we mainly communicate with our members via the official email listserv, this site serves as a resource to communicate with vendors, potential members, and the general public.  The site runs on the WordPress content management system (“CMS”) and is hosted on the University of Hawaii-Mānoa cloud.
